1. Who we are

MeetAnInsider K.K. ('MeetAnInsider', 'we', 'us') operates the platform at meetaninsider.com. We are an introduction service registered in Japan that connects travellers with passionate local and expat residents for authentic experiences.

2. Data we collect

Account data: name, email address, preferred language, and (for booking) a verified phone number.

Booking data: number of participants, selected time slot, and booking fee payment. Payment card details are processed directly by Stripe and never stored on our servers.

Host profile data: nationality, visa status (self-declared), passion description, city of residence, and photos stored on Amazon S3.

Usage data: standard web server logs including IP address, browser type, pages visited, and timestamps.

3. How we use your data

To create and manage your account; to process bookings and send booking confirmations including your QR check-in code; to charge the MeetAnInsider booking fee via Stripe; to send transactional emails; to notify hosts of new bookings; and to improve the platform. We do not sell your data to third parties. We do not use your data for advertising.

4. Third-party services

Stripe — processes booking fee payments. Amazon Web Services (Tokyo region) — email delivery (SES), SMS verification (SNS), file storage (S3), and CDN (CloudFront). Redis/Sidekiq — background job processing with no personal data persisted beyond job execution.

5. Data retention

Account data is retained for the lifetime of your account plus 2 years after deletion. Booking records are retained for 7 years (Japanese bookkeeping law). You may request deletion of your account at any time — records required by law will be anonymised rather than deleted.

6. Your rights

You may request access to, correction of, or deletion of your personal data at any time by emailing privacy@meetaninsider.com. We will respond within 30 days. If you are located in the EEA or UK, additional rights under GDPR apply.

7. Security

All data is transmitted over HTTPS. Passwords are hashed with bcrypt. Payment data is processed by Stripe and never touches our servers. Access to production data is restricted to MeetAnInsider team members on a need-to-know basis.

8. Changes to this policy

We may update this policy from time to time. Material changes will be notified by email to registered users at least 14 days before they take effect. Continued use of the platform after changes take effect constitutes acceptance.
